The report aims to define the importance of communication in an organization. It also focuses on different strategies to improve communication flow within a firm. Every organization understands that effective communication is an essential part of their business operation. Hence, this report suggests the importance of effective communication within an organization. It also provides with some ideas to ensure a strong communication process in a firm.
Effective communication is a necessity of all organizations as it makes coordination among the employees, fulfils their needs, supports knowledge management and helps in improved decision making ( Uche, et al., 2020). An effective communication strategy is a process to support the works in an organization to have better performances and outcomes (Arab & Muneeb, 2019). An organization can’t operate properly without its employees’ ability to coordinate an individual work in the direction of a common goal. Hence effective communication is important in an organization to make effective decisions. To increase effective communication across the entire team, some implements are important to consider. There must be an open-plan environment in the organization for each of its employees so that they feel like an important part of the organization (Hedge, 1982). It helps in building trust and clarity among the team. Another way to improve communication in a team is by encouraging two-way feedback. It helps in improving group communications. Moreover, each member of an organization should be aware of his/her roles and responsibilities. If not, it can cause many problems in an organization. If an employee is not sure about the job he/she is supposed to do, he/she may not be able to complete the task appropriately. Building team spirit is another important step towards an effective employee team ( Heerman, 2003). It allows employees to get to know each other better and helps in creating an environment where everyone feels that they also have a part in the outcomes of the organization. Adding to it, communications training is also an important factor which increases team effectiveness and it is often overlooked (Atkins & Gilbert, 2003). Communications training are very beneficial in terms of improving overall work quality. Hence, to build an effective employee team, it is very important to have a strategic communication flow in an organization.
Group communication is an important factor that increases team effectiveness. Organizations that lack in creating effective communication, staggers like a ship that has no steer (Ince & Gul, 2011). The most important key to effective team performance is open communications available all the time to motivate the employees, to maintain interest and promote cooperation. It helps the group in making a decision. It is always fruitful to have a proper group discussion before making any decisions in an organization. It provides with an opportunity to gather different ideas from different minds of employees. Group communication is highly recommended to manage conflicts in an organization (Weiss et al., 2017). If any conflict occurs in an organization, it is group communication that brings out a solution to it. The exchange of words among the employees shapes the accomplishments of a group. It also helps an organization to build its rapport which keeps the group going in difficult situations too. It is important is achieving a task appropriately. Due to lack of proper communications, sometimes, the outcome of the provided tasks do not meet the expected requirements. Thus, an organization must give priority to strong and effective group communication to perform a smooth operation.
Effective communication plays an important role in the development of any organization. It allows a firm to have a smooth operation within it and obtain the desired outcomes. It is also useful in sharing knowledge and resources among the employees in an organization. There are some implementations to enhance the effectiveness of group communication. The employees should be allowed to share their views on a particular matter. They should be encouraged to come with their ideas on a project rather than just following the suggestions given by their senior authorities. They should be provided with feedback on their ideas and suggestions. As a result of effective group communication, an organization can be assured of a task-oriented working team and satisfied employees.
Internal communication plays a vital role in an organization to function smoothly. In the case of organizations facing communicational issues, it should take some steps to overcome it. There must be some policies related to organizational communications. An organization can attain the above-mentioned result by its employees implementing some of the following strategies:
The above-mentioned strategies can be fruitful to build an effective communication process in an organization which will bring out more productivity and smooth operation within it.
